Building Use Policy

Individuals on campus are prohibited from bringing animals inside college facilities, except for service animals.

Service Animal Policy

Service animals are dogs who are trained to perform a specific task for their owner. Dogs whose sole function is to provide comfort or emotional support do not qualify as service animals. Students with questions about the use of a service animal are welcome to meet with the disability service office. Employees requiring the use of a service animal may contact the Human Resource office.

  • Owners of service animals are solely responsible for any damage to persons or property caused by their animal.
  • A service animal may be excluded from college property if they exhibit unacceptable behavior or pose a direct threat to the health or safety of others.
  • Animals are to be under the control of a handler at all times.

Grievance Procedure for Employees

Employees should first bring their grievance to the attention of their supervisor. If they are not satisfied or feel the supervisor may not deal with the grievance fairly, employees should contact the Human Resources Department.

Cashiers Office Policies

Collections Policy

Students who do not pay the balance due in full may have their accounts sent to a collection agency if they are unwilling to set up a payment plan with the Cashier’s Office and make regular payments. The College will charge students a collection fee of 25% (or more), depending on the charges from the collection agency. The additional 25% (or more) will become due the day the collection agency receives the account if payment has not been received by the College.

Reporting to Credit Bureaus

When uncollected balances are sent to the collection agency, they will also be reported to the credit bureaus, and this may impact the student’s credit score.

Course Content Charges

Some courses have course content charges. These charges are for required course-related materials delivered electronically through the Learning Management System (LMS). Course content charges are non-refundable unless the class is dropped by the Add/Drop Deadline.

Dropped Classes for Non-payment

In addition to late fees, students will be given until the 7th business day of the semester to contact the Cashier’s Office on the 2nd floor of the College and make payment arrangements. If the student fails to make payment arrangements by the end of the 7th business day, the student’s classes will be dropped.

Failure by the College to make contact with students during this process does not relieve them of their financial commitment. Students who make payment arrangements with the Cashier’s Office, but do not comply with the terms of their agreement, will be withdrawn from their classes.

Student health plan premiums must also be paid by the 7th business day of the semester or their classes will be dropped for non-payment.

Effect of Drop on International Students

In the event of international students, a withdrawal will result in the cancellation of their I-20.

Nonpayment Policy

Tuition and health plan must be paid in full by the tuition and health plan payment deadline (see Academic Calendar for deadlines). Failure to pay the full amount or arrange other financial support with the College will result in a late fee of $25 for balances less than $500 and $50 for balances greater than $500. A late fee will not be assessed for students with a valid FAFSA on file with the school by the first day of the semester.

Reinstatement of Classes Dropped for Non-payment

The first time a student’s classes are dropped for non-payment they will be given 3 business days from the day classes were dropped to contact the Cashier’s office to make payment arrangements. Students who make payment arrangements within the 3 days can have their classes reinstated by the Registrar’s Office. After 5:00 pm on the 3rd business day, the student’s classes will not be reinstated.

The second-time students are withdrawn from their classes for non-payment during their academic career at the College their classes will no longer be eligible for reinstatement during the current semester unless the student submits an appeal and is approved.

Tuition Refund Policy

Tuition refunds will only be given as follows:

Classes dropped up to the 6th school day of the semester. Students can drop classes at any point up to the Add/Drop Deadline (school day 6) for a full refund. NO REFUND will be given for individually withdrawn classes after the Add/Drop Deadline (school day 6) unless the student officially withdraws from Ensign College (see below).

Complete withdrawal from school. When a student withdraws from all of their classes at Ensign College after the Drop for Non-Payment Deadline, a pro-rated refund can be given by request until the 8th week of the semester. There will be NO REFUND given when a student withdraws from school after 8 weeks of the semester have elapsed.

Exceptions to the Tuition Refund Policy. Ensign College recognizes that there may be situations beyond a student's control where an exception to the above policy may be warranted. The following exceptions will be reviewed on a case-by-case basis to determine whether the situation merits an exception:

  • Death of the student;
  • Death of an immediate family member where continuing school is impractical;
  • Medical condition requiring extended medical care where continuing school is impractical;
  • Acceptance of a qualifying internship.

Course content charges and fees are not refundable. All types of refunds are requested at the Cashier's Office.

When a prorated refund is issued for students who completely withdraw, the refunds will be based upon this table:

Withdrawing or dropping classes when tuition is unpaid. Students who drop or withdraw from a class they have attended when their tuition has not been paid will be charged a fee (the % of the refund that is non-refundable). (i.e. 1st & 2nd week of class = 0%, 3rd week of class = 20%, 4th week of class = 30%, etc.).

Honor Code Refund Policy. Refunds will not be issued to students who are suspended or separated from the college due to honor code reasons.

Satisfactory Academic Progress

A student receiving federal aid (federal grants and loans) must maintain Satisfactory Academic Progress (SAP).

SAP includes your cumulative grade point average, your aggregate completion rate (Pace) and the maximum time frame to complete your degree. All periods of enrollment count toward Satisfactory Academic Progress (Fall, Winter, Spring), including periods when a student does not receive financial aid.

Cumulative Grade Point Average

A student on financial aid must maintain a minimum 2.0 CGPA in order to continue receiving financial aid. This is reviewed at the end of each semester. Transfer credit does not count toward the CGPA.

PACE (Aggregate Completion Rate)

Pace is a measure of a student's progress toward graduation. A student on financial aid must complete at least 67% of all credits attempted at Ensign College. The calculation is done by dividing total credits completed by the total credits attempted (this includes remedial coursework).

Max Time Frame

To Earn a Degree A student must complete a degree within 150% of the number of credit hours required for the degree or certificate being sought. Transfer courses accepted by Ensign College count in this calculation.

If a student changes their major, their maximum time frame calculation does not reset. If they exceed the 150% mark, they would need to submit an appeal to continue using financial aid.

Financial Aid Warning

Students who do not meet SAP standards for the first time may be placed on Financial Aid warning for one semester. During this semester the student may still receive financial aid. A student will be placed on warning when:

  • The CGPA falls below 2.0 (but is still above 1.0) the first time.
  • The student must have a 2.0 CGPA by the end of the warning term.
  • The Aggregate Completion Rate falls below 67%.
  • The student must have a completion rate above 67% by the end of the warning term.

Financial Aid Disqualification

A student will be disqualified from receiving aid when:

  • He/she does not meet SAP requirements by the end of the warning semester.
  • The CGPA is below 1.0.
  • He/she does not or will not be able to complete a degree within 150% of the number of hours required for graduation.

Financial Aid Census Date

The amount of financial aid you qualify for is affected by the credit hours for which you are enrolled as of the financial aid census date (“FAD”). Classes added after this date or dropped/withdrawn before funds are disbursed to your student account will not impact your financial aid eligibility for the semester.

Marriage and Financial Aid

Students who are married by the last day of the Winter semester, may choose to update their marital status. Students are encouraged to speak with the financial aid office before changing marital status if they have already submitted a FAFSA for the current academic year.

Return of Title IV or Withdrawals

Students receiving financial aid or scholarships should check with the Financial Aid Office before withdrawing or dropping any classes after the semester has begun. Students should never just stop attending class. If a student drops or withdraws from individual classes, they must have begun attending in each course in order to remain eligible for the initial disbursement of financial aid.

At the end of the term, the financial aid office will review students who do not complete some or all of their classes and your last date of attendance is reviewed and/or your academic participation. If a recipient of Title IV grant or loan funds completely withdraws (either officially or unofficially) from the College after beginning attendance, the amount of Title IV grant or loan assistance earned by the student must be determined. Financial aid may be reduced after this review is complete and student will be notified via email about balances returned to the Department of Education.

Financial Aid Code of Conduct

The Higher Education Opportunity Act regulates the conditions under which educational institutions may participate in Title IV programs. Under HEOA 487(a)(25) participating educational institutions are required to develop and comply with a code of conduct prohibiting conflicts of interest involving its financial aid personnel. In compliance with federal law, Ensign College’s officers, employees and agents are required to comply with the provisions of this code of conduct and avoid real or perceived conflicts of interest.
